Wedding Coordination: A comprehensive guide to ensure a flawless day, free from errors, delays, and complications.

Dear couples, you’ve invested time and money in planning your wedding, but what now?

Who will handle everything on the big day?

I’ll provide detailed answers later on, analyzing and detailing everything to ensure your day goes smoothly without delays, bored guests, awkward queues, unwelcome surprises, or issues.

Do you know my story? Let me briefly share before diving into the wedding coordination details.

I believe I am the only wedding planner that didn’t want to be a wedding planner: I started as a singer and entertainer, working for over 15 years in resorts, villages, weddings, corporate, and private events.

My dream had already come true; I was doing what I had always dreamed of – living through music and entertainment.

However, in recent years, during weddings, I constantly witnessed a thousand unresolved issues, which bothered me greatly. Primarily for my couples, and because no one else took responsibility, be it the catering or venue owners, to address these problems.

Until, unintentionally and out of love for my couples and my work – otherwise, I would end up with 10 people in the evening – I started taking charge, coordinating schedules, talking to the couples, managing friends, handling timings, restaurant breaks, and much more.

From there, after 4 years I started organizing them and to date I have been a wedding planner for 7 years.

Let’s analyze the three main reasons why these weddings went wrong:

  1. Lack of a defined chronological and logistical event organization.
  2. No coordination or dedicated team to handle unforeseen circumstances.
  3. Couples acting as “directors,” being asked to manage problems or delays as if they had everything under control.

So, I decided to personally get involved, with a single goal in mind: to create a wedding that revolves around its protagonists, the couple, involving and entertaining all the guests, transforming it into the most beautiful day of my clients’ lives.

We need a change in mentality:

Dear couples, to enjoy your wedding, you can’t be the coordinators.

It’s unique and irreplaceable; you can’t afford to do it wrong:

  1. …coordinating when you should be the protagonists
  2. Having to make decisions while you’re busy entertaining guests
  3. Managing the various components of the event, especially behind-the-scenes
  4. Solving real-time issues and problems.

How can you enjoy the wedding if every problem is your responsibility? I think you already have an answer to this question.

But this is not the only belief that needs changing or eliminating.

I’m not telling you anything new and some future and already married couples can certainly confirm what I’m about to tell you .

Many locations or catering will offer you their coordination, or the wedding planner service, through them or through a person who collaborates with them or an employee.

Surely this is “better than nothing” but let’s get back to the rhetorical questions:

In your opinion, a service provider operationally involved in your wedding will coordinate and manage the moments of your day according to your shameless interest or will try to mediate with the practicality and economy of the effort required of them and their team or in the interest of the person paying for it?

Will they also be with you during your preparations, and the ceremony? Will they have decision-making power over ALL suppliers?

Once again, I think you have already given yourself an answer.

To resolve this part, the practical advice I give you if you do not want to invest in a Wedding Planner with a specialized and trained team is to:

Find a trusted, experienced and knowledgeable person who is able and willing to coordinate the event for you

To ensure that this trusted person is made known all the suppliers, and is listened to on the day of the wedding, bring them with you during the last inspection of the location and introduce them to the suppliers.
