Before becoming a wedding planner, I worked in over 60 wedding locations as a singer and entertainer. I studied singing for 10 years between Verona, Rome and Milan, graduating in jazz singing. I have been working in the events sector for over 10 years.
I have sung and entertained wedding parties, private and corporate events and collaborated with various catering companies. I must confess, however, that things have not always gone the right way.

Why am I writing this article?
Because the wedding location is the heart of the event. I would like to help you, the bride and groom, by making you understand what are the fundamental points to know on which to base yourself and on which it is worth specifying, clarifying and understanding well, before signing the contract and paying the deposit.
THE QUESTIONS TO ASK, THE SERVICES AND CHARACTERISTICS THAT A WEDDING LOCATION SUITABLE FOR YOUR NEEDS MUST HAVE
- Plan A and Plan B: The location must be able to guarantee the wedding even in case of bad weather. Evaluate very carefully the spaces and/or the extra price in the case of renting a marquee. Plan B must satisfy you as much as plan A.
- Exclusive or not: Will it be just us or will there be other spouses? If you only have one wedding per day, will the spaces used for the wedding be reserved only for us? Will the spaces be shared with external guests of the facility? Ask this especially if the location has rooms, a pool and a spa. It is not the best during your wedding to see guests with suitcases, walking around in bathrobes, in swimsuits in the pool and noisy children.
- Logistics: Illuminated parking, elevator, disabled entrance access, location and number of bathrooms, heating and air conditioning.
- Time limit: Event end time included in the contract? Maximum limit by paying extra?
- Volumes and music: Ask about the type of music allowed and the volumes to be respected even during the day, even just for the cake cutting song. After midnight do we have to move or can we stay where the party started? Never take anything for granted, especially if the location is adjacent to houses, or is in the heart of a town or historic center. Ask if there are limitations for music especially if the party and dancing are a priority for you and if you have party-going friends.
- Shade or sun: Consider carefully the areas where you will welcome your guests. Your guests cannot be under the burning sun during the ceremony, the aperitif, and even more so for the table service. Plan shaded areas for the musicians too, they will be very grateful.
- Services included or extra: Preparation rooms for the bride and groom, bridesmaids, overnight stay for the bride and groom, bathroom cleaning, hostesses, parking attendants, signs, lighting, background music, air conditioning, location materials, chairs, tables, gazebos, sofas, coffee tables, etc.
- Tablecloths: Are tablecloths ironed or laid out on the table fresh from the laundry with creases and wrinkles in plain sight? The same goes for chair covers. Do you have a professional steam iron to iron them? Dear bride and groom, will your dress be delivered ironed or do you iron it yourself? Why do only a few people iron tablecloths? This is not an extra but a fundamental service!
- Allowed or prohibited: Use of the lawn for aperitifs and lunch/dinner, throwing rice or confetti, open flames, fireworks, shows and various artists, special installations.
- Your or the bride and groom’s suppliers: Ask the venue or restaurant if you can choose external suppliers for your wedding or if you have to choose only services that they offer. Type: Open bar, photo booth, babysitter, music, extra decorations, confetti, cake cutting, wedding cake or sweet buffet, photos, videos, etc.
- Electricity: How many meters does the location have? Power Kw and possibility of generator rental. Separate meters for garden, floor 1, floor 2, kitchen, private house, or all on one line? In case of blackout what do you foresee for the location?
- Insurance: Is the venue insured? Get their contract and read all the clauses carefully before signing. A venue’s professional contract cannot be just one page.
